Fortes records orders, items and business contacts in the business system it works with every day. That system is set up for the day-to-day records, not for reporting. How often deliveries had arrived on the agreed date could not be read from it.
The immediate reason was delivery reliability. How often does Fortes deliver to customers on the agreed date, and how often do suppliers do the same for Fortes? Fortes wanted to see this per customer, per supplier and per period.
The goal was a reporting environment alongside the existing business system, fed with the same data, in which staff can look up questions like these themselves.
Chief built a reporting environment alongside the existing business system. Data on orders, items and business contacts is copied across automatically and prepared so it can be reported on. The business system stays in charge of the day-to-day records: the reporting environment uses the same data and changes nothing in it.
Chief translated the questions from Fortes into fixed calculations. For each order line it is determined whether delivery was on time. This fixes what on time means, so every report shows the same figure. In the dashboards, those outcomes sit together per customer, per supplier and per month.
Once the first reports were in place, further questions followed. For supplier assessment, reports were added on the number of orders, the time until an order confirmation, returns, and orders that run past the confirmed date. Later, data from production was opened up in the same environment.
Questions about delivery reliability were beyond what the business system could answer. Once the reports were in place, staff could look them up themselves. The customer side and the supplier side sit in the same reports, calculated the same way, so a conversation about a customer or a supplier starts from the same picture.
Because each order line records whether delivery was on time, Fortes can hold a conversation about lead times with its own order history at hand, broken down by customer, supplier and period.
The environment did not stop at the first two reports. New questions, such as supplier assessment and data from production, could be answered in the same setup without a separate solution alongside it.
Alongside the business system at Fortes, Chief built a reporting environment fed with the same data. Questions about delivery reliability per customer and per supplier, which the business system could not answer, could be looked up by staff themselves.
