Planet Awesome is an indoor entertainment center in Nijmegen, the Netherlands, with 5,200 square meters of fun and good company. Visitors can go karting, bowling and laser gaming, play glow in the dark golf, sing karaoke and try the arcade games, with food and drinks from the in-house restaurant. The center offers complete days out for families, friends, school classes and businesses, with packages and events.
The dashboards show revenue for each of the seven main activities separately.
Planet Awesome records bookings, point-of-sale transactions and payments in Innomeer, its reservation and POS system, and keeps its accounts in Twinfield. The company wanted to bring this data together in a single reporting environment, with up-to-date insight into revenue, visitors, costs and margins for each activity and for food and beverage.
Alongside the actual figures, management wanted to set monthly and weekly budgets and see them next to the results and the previous year. That shows, activity by activity, whether the center is ahead of or behind expectations.
When Innomeer introduced a new integration, Planet Awesome wanted to switch to it. The goal was for the reports to also correctly reflect payments booked at a later date, as well as changed and deleted reservations.
Chief built a platform that brings the data from Innomeer and Twinfield together in one reporting environment and keeps those figures up to date. The platform offers dashboards ranging from a daily overview to bookings, food and beverage, financial, weekly, monthly and management reports. Call data from the phone system is included in the reports as well.
Users open the dashboards through a dedicated portal, with a personal login and permissions per dashboard. Authorized users enter weekly or monthly budgets in the same portal, using a spreadsheet-style input screen organized by general ledger account. Branding, users and their access are managed in an admin environment.
Chief handled the switch in consultation with Innomeer. Since the switch, the reports also stay correct when reservations are changed or deleted.
Planet Awesome now has one place where revenue, visitors, costs and margins come together for each activity and for food and beverage. When Planet Awesome added new activities, they were built into the existing dashboards and the budget input, so they can be compared with budget and last year straight away.
Budgets are maintained in the portal itself and appear as a forecast next to the actual figures. Weekly reports follow standard week numbering, so the periods line up with the financial calendar.
Reports for earlier days now stay correct when reservations are changed or deleted afterwards, and payments booked at a later date land on the right day. Dashboards always show a full day's revenue. Visitor numbers are based on the booked party size, so groups that book online without registering each guest are counted too.
